You want to make sure there are no hidden costs, and that the band has all the equipment that they need for the evening. Once this is all checked out, and you are happy with the total fee, you can look to signing contracts.
Review the Contract
Carefully review the band's contract. Ensure you understand all the terms and conditions, including their cancellation policy, payment schedule, and any backup plans in case of emergencies. More often than not, a band will outline any possible scenarios in a contract, but make sure you are on-board with all the possibilities to ensure that you don’t get caught out. That being said, chances are that you will only have to focus on the payment schedule and making sure the venue is well prepped for the band.
Deposit and Contract Signing
If you're satisfied with the band and their terms, pay the required deposit and sign the contract to secure their services for your wedding date. Most bands will treat the contract signing and deposit payment as the official point of booking, so make sure you don’t leave these important documents in your inbox for too long!
Finalise the Details
As the wedding date approaches, work closely with the band to finalise the specific details, such as setup and performance times. Making sure you know how long the band needs to set up is incredibly important as well as knowing when the band will set up. Some bands may offer to set up before your wedding begins, which often works well if you are wanting a slick, smooth-running day without interruption. The soundcheck is a crucial part of making sure the band sounds as good as they do in all of the promotional videos you used as the reason for booking them. How long a soundcheck will last will vary depending on the size of the band, but these are details that your band will be well versed in.
Stay in Contact
Keep in touch with the band as the wedding date approaches to address any last-minute questions or concerns. A good band will maintain regular communication with you throughout the months leading up to your wedding. Ensure you have a contact number for the band, and vice versa, so the band can get hold of you or your wedding planner for any last minute queries.
